BUILDING CONFERENCE CENTER – 41st Floor

POLICIES & PROCEDURES

The Building Conference Center is located on the 41st floor of the Bank of America Corporate Center, in suite 4150.  The building conference center is available to all tenants leasing space within the building.
When booking reservations for this room, please observe the following policies and procedures:
  • All tenants of the Bank of America Corporate Center can use the building conference center free of charge between the hours of 8:00 a.m. and 7:00 p.m., Monday through Friday.  Any use of the conference room after normal building hours of operation will be billed at an hourly rate of $50 per hour.

  • All reservations must be scheduled with the Building Management Office.  For reservations, please contact Lincoln Harris at 331-0917.  The normal contact through which all reservations are made is the Receptionist.  A Function Agreement will be faxed to you for your signature.  This agreement must be completed and returned to the Receptionist at least five (5) business days prior to the date requested for reserving the conference room.  When scheduling the conference room please note the following:

    • Please specify the exact times you will need the building conference center.  Because multiple meetings are scheduled on any given day, all tenants will be required to vacate the building conference center immediately after their allotted time.  Additionally, all materials should be removed from the room upon your departure, and all trash placed in the appropriate receptacles.  If trash is left out a charge of $25.00 per hour will be assessed for cleaning services.

    • Please allow enough time to prepare the room for your conference and clean up after your conference as there may be other conferences scheduled throughout the day.

    • Building Management will not schedule any reservations with less than a 30 minute break between conferences.  This will allow building management time to breakdown, clean and prepare this room for the next scheduled conference. 

    • Night classes are frequently held in the conference center, therefore, it may not be possible to leave the room set up overnight when multi-day conferences are scheduled.  If you desire to leave the conference room set up overnight for multi-day conferences, you must clear this in advance when booking your reservations. 

  • When making arrangements to reserve the conference center it is necessary to identify the number of people attending the conference and the desired room layout on the Function Agreement.  The building conference center has a variable room layout, which can accommodate up to fifty people.  Four room layouts are available; each of which can accommodate a certain number of people as follows:

    • The first arrangement is a theatre style.  This design consists of rows of chairs only facing a main focal point (the white board or windows) within the room.  This style can accommodate up to fifty people (50) people.

    • The second arrangement is the U shape.  This design consists of chairs and tables set up in the shape of the letter U.  This style can accommodate up to twenty-five (25) people.

    • The third arrangement is a classroom style.  This consists of the tables and chairs in rows facing the main focal point of the room.  This style can accommodate up to thirty-five (35) people.

    • The fourth arrangement is a hollow square, which is similar to the U-shape with four sides.  This style can accommodate up to thirty-two (32) people.

  •  The building conference center is equipped with a 36 inch cable television, conference phone, VCR, slide projector and screen, overhead projector, presentation podium, dry erase board, and a flip chart stand. Additionally, the following supplies will be provided:  flip chart paper, permanent markers and dry erase markers.  Use of this equipment must be requested when completing the Function Agreement. 
     
  • When your conference is concluded please call the building management office at 331-0917 to let us know you are done with the room and set-up can begin for the next conference. 
     
  • Catering arrangements are the responsibility of the reserves.  All deliveries are subject to building rules and regulations.  The Confrence Room is also equipped with a kitchenette.
     
  • Please complete the following form to reserve the conference room FUNCTION AGREEMENT.doc and forward via fax to (704) 342-0667.
